How to keep your ESA receipts organized and audit-ready

School-choice accounts hand families real money, and the tradeoff is real record-keeping. Programs can audit past years, and a missing receipt can mean paying money back. Here's a system that keeps you covered without turning into a part-time bookkeeper.

1. Capture at the moment of purchase

The receipt you photograph in the parking lot is the one you'll still have in April. Waiting until "later" is how receipts get lost. Snap it, note the amount, and move on.

2. Tag every receipt two ways

By child and by spending category. This is what lets you answer the two questions that matter: how much has this child spent, and how much has gone to each category. Some programs cap categories — Arkansas caps extracurriculars and memberships at 25% of the award, and Texas caps technology at 10% — so category totals aren't optional.

3. Keep proof of payment, not just the invoice

For reimbursements, programs want to see the money actually left your account. Keep the paid receipt or the card-statement line alongside the invoice.

4. Watch the deadlines

Many programs run on quarters, with receipt-upload windows and funding dates. Missing an upload window can suspend a debit card. Put the dates somewhere you'll see them.

5. Back it up before you switch phones

If your records live on one device, one lost phone erases the year. Keep a backup file.
