ClassWallet is the payment platform for several school-choice programs, including Arizona's ESA and Arkansas's EFA. If you pay with the debit card or ask for reimbursement, you have to upload a receipt that meets specific rules. A receipt that's missing a field can be rejected, which delays your money and, in Arizona, can get your card suspended.
What an itemized receipt has to show
Arizona's ESA handbook asks for a receipt from the vendor's point-of-sale system (or its numbered receipt book) that shows:
- Vendor name, address, and a phone number or email
- The receipt date
- A receipt or transaction number
- An itemized list of the items or services
- The price of each item and the total charged
A bank or credit-card statement is not a receipt. Neither is an order confirmation that doesn't itemize.
If you're asking for reimbursement
An invoice on its own isn't enough. You also need proof of payment — a paid receipt, a card statement line, or a screenshot showing the charge went through. Arkansas's EFA rules say the same: invoices without proof of payment aren't approved. Some purchases need extra documents too, like a curriculum plan or a tutor's credentials.
The deadlines that matter
In Arizona, debit-card receipts are due each quarter — October 31, January 31, April 30 and July 31 — and also after every 20 card transactions. Miss the deadline and, after a 15-day grace period, the card is suspended.
