ESA end-of-year checklist

The end of the account year is where families lose money — a reimbursement filed one day late, a receipt that was never uploaded, a category quietly over its cap. Run this checklist before your deadline and none of it happens to you.

1. Find your actual deadline

Deadlines differ by program. Arizona ESA reimbursements are due July 31 for the contract year (with quarterly receipt deadlines along the way). Florida FES/PEP has a single annual reimbursement deadline of July 31. Utah Fits All runs July 1–June 30. Confirm yours on your state's page and put it on your calendar now, not in July.

2. Submit every pending reimbursement

Go through the year and file any purchase you paid out of pocket and haven't claimed yet. Requests submitted after the deadline are denied — the money doesn't carry as a "you'll get it later."

3. Clear any receipts still marked missing

If your program flags card purchases that need documentation, upload those itemized receipts now. Overdue receipts are the top reason a ClassWallet card gets suspended, and an unresolved one can hold up your close-out.

4. Check your category caps

Some categories are capped — Texas TEFA caps technology at 10%, Arkansas EFA caps extracurriculars at 25%, Utah caps extracurricular and PE at 20% each. Spending over a cap gets the excess denied, so confirm you're under before you buy anything else this year.

5. Know what happens to leftover funds

Some programs roll unused funds over while your student stays eligible (Arizona, Utah); others reconcile at year-end. Either way, don't count on rollover to rescue an unfiled reimbursement — the filing deadline still applies.

6. Save your records

Keep the full set of itemized receipts and proofs of payment for the year in case of an audit or a re-verification. A clean, exportable bundle makes any follow-up painless.
